4. Parents will be given five days to cast their vote on which three fundraisers we will do for the season. This vote will be cast via Google Form. The google form will also ask parents if they would volunteer to be the primary point of contact for a particular fundraiser. The fine print states that the fundraiser will not be selected if there is no parent volunteer listed.

5. The owner/gym manager will notify parents what the top three fundraisers were voted and who is the point of contact. Each fundraiser will be given a month of the year in which it should be hosted. The point of contact will take over from here. This ends the gym’s involvement in fundraisers until it’s time to apply money to the accounts.

6. The front desk should know all details of the fundraiser and have the permission of the point of contact to give out contact information if parents have additional questions. The gym will not accept individual money or checks for fundraisers at any time.

7. Upon completion of the fundraiser, the gym manager will meet with the parent point of contact. The parent will have a spreadsheet with all credits to be placed on the appropriate accounts. The gym manager will finalize the cash/check total – recheck the math – and then apply the appropriate credits. The gym manager will then use the templated email in Jackrabbit notifying them a credit from fundraising has been placed on their account. The email verbiage is as follows:


Good evening! 

Fundraiser credits in the amount of $____ were applied to your account today. As a reminder, fundraiser credits may be used for competition fees, tuition and any other services in the gym related the all star cheerleading. Fundraiser credits are not refundable and may not be used toward hotel, travel, personal expenses or proshop items (Exception: Team shirts or practicewear required for an event).

8. When all the emails are sent, parents will be notified to check their email for their credit balances.

9. Each point of contact will be asked to submit an after action report of the fundraiser to assist future parents.
