Results Statement: By having a system for how to write a system, you can effectively delegate systems creation to your staff. Ensure you have final authority and review over every system created or have a manager who can do so. This is the system used by Twisters. For clarity, the system is listed below the line:
How to write a system
Results Statement: By completing this system, you will be able to write a system for the gym in the likeness and format that is congruent with other systems.
All systems must have the following:

- Results Statement: As you can see above, the results statement is important for explaining the “why” behind a system. Ensure that you write a statement that explains why we do something and what the end results should look like. For example: “By using this system, the bathroom will be clean and fresh, instilling parents’ confidence in our attention to detail and safety.”
- A detailed explanation of each item on the list. A system can be a checklist, but it should have further details clarifying each of the things on the checklist. Rather than, “Turn on TV,” in the opening checklist, we would write, “Turn on TV by using the remote in the top, right-hand drawer to the front desk. Aim it at the TV, click “TV” and “Power.” Ensure the TV is turned to channel 65, HGTV. If a parent has requested a sports game, the TV channel may be modified, but a staff member should have oversight over the TV to ensure appropriate programming is present at all times.”
- Clarifying statements. Ensure everything in your system is clear. Anything that would be vague should have clarifying statements or a mini system written within. (For example: Instead of saying, “Make sure cookies are stocked in the display case at the front desk by 4 p.m.”, you would say, “Ensure a minimum of 4 chocolate chip cookies, 4 M&M cookies, 4 double chocolate cookies and 4 sugar cookies are stocked in the display case by 4 p.m.”
- Consistent style. As you may know by now, all of our systems are written in a consistent style and manner. To ensure the information is displayed correctly, ensure all systems are written in:
Title Font: Playfair Display, Underlined, Size – 18, Center aligned (no colon)
Body Font: Arial, Size 11 (Headers may be bolded for clarity)
Spacing: Single-spaced, left aligned, 1 inch margins
Logo: The logo should be approximately 2”x1”, left aligned in the header
Page Numbers: Add these to each page in a multi-page system in the bottom, right corner
Note: The easiest way to do this is to make a copy of a current system by going to File > Make a copy.
Once a system is complete:
- Submit it to the manager for review.
- Make any suggested edits.
- Print a copy if this is a front desk system and place it in the front desk binder in the appropriate tab.
- Copy the link of the system and put it on the Twister Systems Trello board in the appropriate list. You may copy by clicking “Share” in the top right corner of the Google document. Then under “Get link” click, Share with Twister Sports > Change the dropdown to say, “Anyone with the link”. Ensure it says, “Can view document”, and copy the link.
- All systems should be made in the [email protected] Google drive and placed in the Systems folder.
Systems are reviewed semi-annually by management. Systems should be checked for all items above as well as accuracy. Complete the steps above to readjust any systems requiring modifications.
