Results statement: By using this checklist, we will be able to reach all children who have a birthday in the upcoming months and give them information about our birthday parties. This will help to fill up all birthday party slots each month. Our goal is to book a minimum of 20 birthday parties each month. 

  1. Send an email to all active athletes in Jackrabbit two months before their birth month.
    1. Log in to JackRabbit
    2. Hover over ‘Families’.
    3. Click ‘Email/Text Families’.
    4. Click the ‘Template’ drop down.
    5. Click the template labeled ‘Birthday Party Promo’.
    6. Scroll down and make sure the Family Status is set to ‘Active’.
    7. In the ‘Family/Student Search Criteria’ select the birth month you are emailing.
    8. Scroll down and click ‘Preview List’.
    9. Review email and click ‘Send Now’.
  2. Content of Email Template:
    1. Subject: Happy Early Birthday!!
    2. Message: Good afternoon! Happy early birthday from all of us at Twisters! We want to make sure this is your best birthday party yet! Just reply to this email, give us a call at 660-238-0577, or visit www.twistersports.com/birthdays to see the three awesome packages we offer! As always, we offer a member and a military discount on all events! We look forward to chatting with you!
    3. This email can also be automated through Active Campaign.
  3. Call all active and inactive athletes in Jackrabbit two months before their birth month.
  4. Print the birthday report from Jackrabbit.
  5. Hover over ‘Reports’.
    1. Click ‘Favorite Reports’.
    2. Click on ‘Student Birthday Report’.
    3. Change location to ‘Main’.
    4. Select the birth month you are wanting to call.
    5. Click “Submit’
    6. Select ‘Show All’ at the top of the report.
    7. Click ‘Print’ at the top of the report.
  6. Call families starting at the top of the list.
    1. If they answer the phone, say “Hi! This is (your name) with Twister Sports. I am calling because (insert child’s name) has a birthday in (insert month) and I was seeing if I could tell you about our awesome birthday party packages!: 
    2. If they say yes, then go over the packages. 
    3. If they say no, then say “Okay, thank you for your time! We hope (insert child’s name) has a great birthday!”
    4. If they do not answer the phone, leave a message saying “Hi! This is (insert your name) with Twister Sports. I was calling because (insert child’s name) has a birthday in (insert month) and I was seeing if I could tell you about our awesome birthday party packages! If you could give us a call back at 660-238-0577, that would be great! Thank you, bye!”
    5. Make a note on the sheet with the outcome of the conversation. (ex. Left vm 11/15, talking with spouse, already have a party planned, ect.)
