Position Agreement- All Star Director

This is a position agreement by and between the All Star Director and the Owner of Five Star Athletics LLC, and is intended to franchise prototype the relationship between these two positions. 

Results Statement: This position is responsible for developing, growing and maintaining the class program.    

Reporting Positions: Reporting positions include All Star Team Coaches, the HYPE Director and Junior Coaches. 

Entrepreneurial Work:

  1. Observe and Document ideas and that will continue to improve the client experience for our families  
  2. Observe and Document ideas that will help to improve the product that we offer. 
  3. Develop and implement benchmarks for teams. These must be age and skill appropriate and be focused to ensure progress while meeting the standards of Five Star Athletics.
  4. Create and refine class packages to maintain and grow our All Star Program

Managerial Work

  1. Work with the Program Director and All Star Director to ensure class program is meeting the current needs of Five Star Athletics current and future clients.
  2. Improve, on a continual basis, the Position Agreement by and between the Owner and the All Star Director. 
  3. Develop and refine Position Agreements for future reporting positions. 
  4. Attend weekly manager meetings every Monday at 3pm.
  5. Observe at least 1 class per month of each class coach to be sure they are following current curriculum and meeting the standards defined for them. 
  6. Meet with All Star Coaches briefly on a monthly basis to give feedback to ensure they are also constantly improving.  
  7. At scheduled meetings present and train staff on any changes related to All-Star

Technical Work

 

  • Complete a weekly management report

 

    1. This report should be done weekly so the director knows what projects you are working on and where you need help. 
    2. Reports are due by 9pm every Sunday and are completed in google forms. Link can be found at: _________________
  1. Client Communication 
    1. Ensure that all phone calls are answered in a polite, prompt and courteous manner. 
    2. Ensure that all calls are answered within 3 rings 
    3. Use the phone script on EVERY prospecting call received
    4. Respond to all emails to the coach within 24 hours in a kind and courteous manner 
    5. All “problems” that a family has should always try to be understood by coach, and remember that we are dealing with the parents most prized possession. 
    6. Send a weekly email with updates and upcoming information. This should go out on Monday each week. 
    7. Clearly communicate class closures and any schedule changes. Make these available through a variety of methods including but not limited to:
      1. Weekly Emails 
      2. Band App
      3. Website Schedule 
  1. Student Retention
    1. Attendance Follow Up
      1. On the 1st and the 15th of each month check the team binders. Anyone who has missed a large number of practices should be reached out to. 
          1. Make sure they are okay, and if there is anything we can help them with. 
    2. Client Appreciation
      1. Follow Up Calls- Check the team binders, if there are any issues follow up with those parents, make sure things are going okay now. 
    3. Gymwide Events
      1. As a managing member of Five Star Athletics you will be expected to help facilitate and participate in gym wide events as directed by the Program Director.  Events include but are not limited to: 
          1. Gym Showcase
          2. Gym Thanksgiving
          3. Family Beach Day 
  1. All Star Curriculum
    1. As the All Star Director it is your job to ensure that the teams are meeting the standards we have set. 
    2. Set standards and make sure they are being followed for all ares of the score sheet 
    3. You are responsible for ensuring team coaches are following practice plans.
  1. Practice Structure
    1. Develop and implement a structure to classes to ensure all team practices are run in a consistent manner.
      1. Items to be included in class structure are to include but not limited:
          1. Conditioning
          2. Warm Up
          3. Routine Work
          4. Skills Work
          5. Full Outs
  1. Schedule Staff 
    1. On a weekly basis complete the All Star Team schedule for two weeks out
      1. Approve time off requests 
      2. Look for conflicts with days and times 
    2. Schedule should be completed two weeks out by Friday of each week 
  1. Evaluate All Star Staff 
    1. On a daily basis evaluate staff, ensure they are completing the tasks as required for an All Star coach. 
    2. Discipline coaches as required that are under the All Star director
  1. Schedule Quarterly Parent Meetings
    1. Each quarter open a minimum of two days of parent meeting slots 
    2. These should be done in 10-15 minute slots where parents can ask questions or get feedback on their athletes progress. 
  1. USASF 
    1. Register All Athletes into the USASF 
    2. Ensure birth certificates have been uploaded and all athletes are eligible 
    3. Ensure all coaches have completed all required steps and are competition eligible 
  1. Competitions
    1. Register for all events for the season no later than Sept 15th of each year
    2. 90 days out from the event ensure that all teams have the correct numbers registered, and crossovers have been allocated correctly 
    3. One week prior send out via BAND the competition info sheet. Include:
      1. Meet Times
      2. Performance Times
      3. Awards Schedule
      4. Departure Times
      5. Other required Information
    1. Minute by Minute- 
      1. The Wednesday prior to the competition send out the minute by minute to All Star staff. 
    2. Ensure scoring is correct at the event
      1. All score sheets should be verified thru the All Star Director or who they designate. 
    3. Challenges- All challenges at an event are handled by the All Star Director in a kind and courteous manner 
  1. Communication 
    1. Ensure that every All Star team has their dates up in band. This includes but is not limited to: 
      1. Team Choreo Dates
      2. Camps/Clinics
      3. Practices
      4. Team Bonding Events 
    2. On Monday of each week the weekly updates are to be sent to parents via BAND. These should be entered using the #weeklyupdates
  1. Music
    1. Order Music for all teams
    2. Ensure count sheets are being submitted correctly
    3. Ensure music stays within budget
    4. Make sure music matches our style/Sound
  1. Choreography
    1. Coordinate and schedule choreography sessions
    2. Approve changes to choreo by coaches. 
  1. Super Camp
    1. Coordinate Annual Super Camp
      1. Instructors
      2. Travel
      3. Schedule 
      4. Meals 
      5. Sessions
  1. HYPE
    1. Oversee the HYPE Program ensuring the HYPE director is doing the correct things 
  1. Routine Reviews/Scoring
    1. Perform routine reviews quarterly.
    2. These should be done via photo sharing for all to see

    1. Ensure the morale of All Star is high 
    2. Coordinate Spirit Week
    3. Coordinate dress up days
    4. Coordinate team challenges

  1. Position Pay Structure
    1. The base salary is $XX per month 
    2. Private Pay
      1. As a perk you will receive pay for your privates as below. The difference will cover Credit Card fees and Amilia fees
      2. Private Lesson: $40 per 30 minutes (Charge $45) 
      3. Semi Privates: $35 per 30 minutes per child (Charge $40)
      4. Power Pass- Included in salary 4 per week

General Standards Specific to this position:

        1. The Class Director will be responsible for staying aware of current teaching and training techniques and fundamental learning processes.

Additional Standards for Managers and Supervisors: 

  1. All managers and Supervisors will seek to motivate employees and provide reassuring guidance 
  2. Every manager or supervisor will regain from giving a directive to anyone who is not his or her employee. Any communications that demand action is considered a directive. 
  3. All managers and supervisors will provide technical and staff assistance when required. 
  4. Managers and supervisors will enforce company policies and rules 
  5. Managers and supervisors will treat subordinates with respect, demonstrating an attitude of care and concern. 
  6. Managers and supervisors will meet (at the very least) monthly with their subordinates.
