Results Statement: By using this system, emails will no longer get lost or lack adequate response time in your email box. You’ll also be able to more effectively batch process your email communication saving you time.

Inbox Zero is a process where you have a series of folders within your email box. Each day, you will go to your email inbox and do the following:

  1. Quickly delete all emails you don’t intend to read (marketing and SPAM emails.)
  2. Select the emails you can answer quickly that require a quick response. Then, file the initial email in a folder designating what that email is in relation to.
  3. Finally, reply to all emails that require some sense of time and thought.

A few tips: 

  1. Overwhelmed by the thought of clearing out thousands of old emails? Create a single folder titled, “Previous Emails 2020” and drop all emails that no longer need a response from you into that folder. It’s not worth your time filing thousands of old emails. Begin the Inbox Zero process today!
  2. Email folders can be simple or more elaborate. For simple filing, consider the following folders:
  • Client Communication
  • Prospect Communication
  • Staff Communication
  • Billing & Shipping Notifications
  • Marketing (Communication you may need in the future such as event producer’s schedules)
  • ProShop (This is a great place to put your proofs or marketing emails for possible pro shop items)
  • Sponsorship & Donation Requests
  • Miscellaneous

3. All emails can be searched in your inbox easily, so don’t stress about putting emails in the perfect folder.

4. Check your email no more than 1-2 times daily. Emails are not emergencies, and people expect it to take up to 24 hours for an email to receive a response.

5. Begin unsubscribing to emails you don’t read or intend to read.

6. Clear your inbox every single day to ensure you don’t miss emails.
